Job Title: Senior Executive - Finance & Administration

About the Role
We are looking for a detail-oriented Senior Executive – Finance & Administration to join our team. This role is ideal for a finance professional with strong expertise in financial management, reporting, and compliance, particularly within a dynamic and project-driven environment. You will play a key role in ensuring financial accuracy, optimising project costs, and maintaining compliance with tax regulations.
In addition to financial responsibilities, you will provide administrative and HR support, contributing to the smooth operation of our Malaysia office. This role requires excellent analytical skills, a proactive approach, and the ability to collaborate with multiple stakeholders.
Key Responsibilities
Financial Management & Compliance

Oversee the monthly financial close process for multiple entities, ensuring timely and accurate completion.

Maintain a full set of accounts and manage external audits.

Ensure smooth processing of invoices, claims, and fund flow requests.
Financial Reporting & Analysis

Conduct cost analysis, forecasting, and budget preparation to support financial health.

Produce accurate and timely financial reports for leadership teams.
Tax Compliance

Identify and apply tax incentives to optimise financial efficiency.

Liaise with tax advisors to ensure compliance with Malaysian tax laws.
Project Cost Management

Establish and maintain project budget tracking systems, ensuring accuracy and compliance with internal guidelines.

Monitor project expenditures and provide regular financial updates to stakeholders.

Highlight financial risks and variances, offering strategic solutions where necessary.
Stakeholder Collaboration

Work closely with cross-functional teams, including project managers, treasury, and external vendors, to ensure effective financial oversight.

Support other finance-related duties as required.
Administrative & HR Support

Assist with general administrative tasks, including data management and office operations.

Support HR functions such as onboarding, offboarding, work pass applications, and payroll preparation.

Oversee office setup and maintenance where necessary.
What We’re Looking For
Qualifications & Experience

Bachelor’s degree in Finance, Accounting, or a related field.

Minimum 6 years of experience in financial reporting, project cost management, or a similar role.

Prior experience in auditing or financial statement management (Big 4 experience preferred).
Key Skills

Strong knowledge of project financial management, cost analysis, forecasting, and budgeting.

Proficiency in financial management software (e.g., ERP systems, Excel).

Familiarity with Malaysian tax regulations and incentives.

Excellent organisational, analytical, and problem-solving skills.

Strong communication and stakeholder management abilities.
