Job Purpose:
This role provides comprehensive commercial and administrative support within a leading commercial department. You will be the focal point for managing commercial service contracts and agreements, including long- and short-term contracts. The position involves preparing tenders, controlling budgets, coordinating contract creation, and ensuring timely payments. Your work will directly support smooth operations and the renewal of critical contracts to ensure continuity of services.
Key Responsibilities:

Commercial Contract & Service Management:
- Ensure the creation and renewal of commercial contracts and service agreements, managing both short- and long-term agreements to secure uninterrupted service continuity.
- Coordinate the timely order and creation of contracts in the system to maintain service availability.
- Prepare and manage tender processes, evaluations, and change orders related to commercial agreements.

Budget Management & Financial Coordination:
- Oversee commercial budget management, maintaining service account payable budgets in collaboration with finance and accounting teams.
- Prepare quarterly and annual budget reports for management review and approval.
- Handle invoicing and financial processes, ensuring accuracy and timely payments for services rendered.

SAP & Data Management:
- Utilise SAP to manage contracts, purchase orders, invoices, and related financial transactions, ensuring all data is entered accurately and timely.
- Analyse and generate reports from SAP to assist in decision-making and ensure compliance with internal controls.

Invoice & Financial Coordination:
- Process invoices in SAP, ensuring accuracy and timely payments while verifying and reconciling billing discrepancies.
- Monitor outstanding payments, follow up on receivables, and generate status reports for financial compliance.

Collaboration & Compliance:
- Work closely with internal stakeholders, including finance, procurement, legal, and operations, to ensure smooth commercial workflows.
- Ensure adherence to company policies, regulatory requirements, and internal controls.
- Assist in audits and financial reviews by providing necessary documentation and reports.
Key Interactions:
- Internal: Operations, Finance, Procurement, Legal, Sales, Supply Chain, and Scheduling teams.
- External: Vendors, suppliers, consultants, and third-party service providers.
Working Conditions:
- Office-based environment with extensive computer use. Occasional travel may be required.
Qualifications & Experience:
- Education: A Diploma or Bachelor’s degree in a relevant field.
- Experience: A minimum of 3-7 years of experience in commercial operations, contract management, or finance.
- Language: Proficiency in English is essential.

- Contract & Claims Management: Strong understanding of contract terms, claims handling, and financial documentation.
- Analytical & Financial Skills: Excellent analytical, problem-solving, and financial reconciliation skills.
- Attention to Detail: Ability to identify discrepancies and risks in contracts, invoices, and claims.
- SAP Proficiency: Strong experience with SAP MM, SD, or FI modules for invoice processing and contract management.
- Communication Skills: Clear, concise written and verbal communication skills, with an ability to engage effectively with vendors and internal teams.
- Negotiation & Collaboration: Strong negotiation skills with the ability to collaborate across various departments (finance, procurement, legal, and operations).
- Organisational Skills: Effective time management and the ability to multitask across contracts, invoices, and claims management.
