Administrative Assistant – Bulk and Key Account Team
Location: Aubervilliers, Paris, France
Contract Type: 2-year contract (potential to extend)
Work Schedule: Monday to Friday, 35 hours per week (including a 1-hour unpaid lunch break)

Key Responsibilities
Administrative & Customer Support
- Manage the Bulk and Key Account team’s general mailbox, ensuring timely responses and efficient organisation.
- Handle email campaigns for customer communications, including order confirmations, batch recalls, and other announcements.
- Maintain and update contract records, ensuring proper documentation in the contract database.
- Process and manage incoming requests from the "not responding" mailbox one week per month.
- Assist in maintaining supplier compliance platforms.
Operational & Sales Support
- Act as a backup for order processing tasks, including unblocking invoices, dispute resolution, overdraft reduction, and asset handling.
- Update pricing conditions within the company’s SAP management system.
- Maintain and update annual customer order numbers.
- Prepare quotes for Special and Industrial Gases.
- Retrieve essential documents such as invoices, safety data sheets (MSDS), certificates, and other required attestations.
- Gather and organise information for customer inquiries, meetings, tenders, and compliance questionnaires related to quality, safety, and CSR (Corporate Social Responsibility).
- Create new customer shipment addresses (Ship TOs) in the system.
Collaboration & Team Support
- Provide backup support in the absence of the IAM (training, leave, travel), including answering phone calls.
- Liaise with internal logistics, collections, and technical teams to provide customer support on order deliveries, unpaid invoices, and technical service requests.
Profile & Skills Required
- Proficiency in SAP – essential.
- Strong skills in Microsoft Word & Excel.
- Excellent interpersonal skills, with the ability to communicate effectively across teams and with customers.
- Highly adaptable, organised, and able to handle a variety of tasks within the same day.
- Fluent in French (written & spoken) with a good command of English.
